When the boat owns your schedule

On an island, the supply timetable is not an input to planning. It is a hard constraint that determines what can be scheduled at all. Checklists and fixed routines reduce the mental load of recurring constraints; this background note explains the underlying idea.

Mainland operations treat supply as continuous. If something runs out, a supplier delivers, possibly the same day. Scheduling assumes materials are available and plans labour around demand. The transport constraints described here are part of the wider discipline of logistics.

Island and remote operations invert this. Supply arrives on a timetable set by a ferry, a barge or a flight, and the timetable is subject to weather. What can be done in a given week is determined as much by what arrived on Tuesday as by who is rostered.

The delivery day is a workload event

A supply arrival is not a passive receipt. It is a concentrated block of labour: unloading, checking against order, cold chain handling, storage, and dealing with what did not come. In a small property it can consume most of two people's day.

That day should appear on the rota as an event with staffing attached, in the same way a large group arrival does. It routinely does not, which is why delivery days are the days everything else slips — the work was always there, it just was not represented anywhere.

Rota the boat

If supplies arrive on Tuesday, Tuesday has less service capacity than Monday. A schedule that treats them as identical is over-committed one day a week, every week.

Order lead time becomes a planning horizon

Where the delivery cycle is weekly, every consumable decision is made a week or more in advance, and errors cannot be corrected until the next cycle. This pushes forecasting responsibility down to people who are not usually asked to forecast — the chef ordering for a week of covers that has not been fully booked yet.

The practical consequence is that occupancy forecasting matters more, not less, in a remote property, and it has to be shared further. A booking that arrives on Thursday for the following Wednesday is a booking that missed the order deadline, and the kitchen needs to know that in a form they can act on.

Weather is a scheduling variable

In many island destinations the crossing is weather-dependent for part of the year. A cancelled service is not an isolated inconvenience; it propagates. Linen does not arrive, so rooms cannot be turned. Food does not arrive, so the menu shortens. Staff on the mainland do not arrive, so the rota is short.

Businesses that operate this way well tend to plan in terms of resilience rather than efficiency: higher stock levels than a mainland property would justify, a shortened contingency menu that can be produced from stores, and an explicit understanding of how many days of operation the property can sustain unsupplied.

Staff movement is on the same timetable

Where staff commute from another island or the mainland, the transport schedule constrains shift design directly. A shift cannot end after the last boat unless there is somewhere to sleep, and a shift cannot start before the first.

This narrows the feasible schedule considerably and it is often the real reason a property cannot staff its evenings. The available responses are limited and worth being explicit about: staff accommodation, a property-run transfer, or shift patterns built around the timetable rather than around the demand curve.

Maintenance requires a different posture

A failed component on the mainland is a call-out. On an island it is a wait for a part, potentially a wait for a technician, and potentially a wait for both to coincide with a suitable crossing.

This shifts the economics decisively toward holding spares and toward preventive replacement. Carrying a spare pump that may never be used is expensive; being without a pool for eleven days in high season is more expensive. The calculation that makes no sense in a city makes obvious sense at two hours from the nearest supplier.

Build the timetable into the calendar

The single practical step that improves remote scheduling most is putting the transport timetable — supply arrivals, passenger services, order deadlines — onto the same calendar as the rota and the arrivals list.

Kept separately, these get reconciled in someone's head, and the reconciliation fails on the weeks when it matters. Kept together, the collisions are visible in advance: the delivery day that coincides with a group arrival, the order deadline that falls on the manager's day off.
